PA to the Principal at Rosedale College
Location: Rosedale College
Salary: Depending on qualifications and experience

Based on 35 hours per week, 42 weeks per year, mainly term-time
JOB OVERVIEW:
Key Purpose:
- To provide comprehensive administrative and secretarial support to the Principal/Headteacher to ensure that all routine procedures are effective, efficient, reliable and focused on supporting standards of attainment through high quality learning.
- To assist and manage the workload of Principal/Headteacher, facilitating good communication so as to ensure the smooth operation of all functions in a sensitive and confidential manner; being professional at all times.
- To work in concert with the Principal/Headteacher to accurately maintain records concerning the College/School. To ensure that the information is presented in a format which is accessible, taking account of the type of information involved to ensure it is appropriate to the target audience; being responsible for overseeing the accurate maintenance of information and data held, as determined by the Principal/Headteacher.
- To act as a positive role model to students; to reflect, through word and deed, the core values of the College/School and promote a safe culture of high expectation and ambition to succeed.
- To develop effective working relationships both within and beyond the College/School, including Governors, the local community and other stakeholders.
KEY ACCOUNTABILITIES:
To be accountable to and line managed by the:
- Principal/Headteacher and/or other designated member of staff.
To be accountable for and act as Line Manager to:
- Any administrative, clerical or apprentice staff assigned.
ROLES AND RESPONSIBILITIES
To support the Principal/Headteacher in all aspects of his/her work. This will include:
- Providing high standards of response and presentation at all times. To act on behalf of the Principal/Headteacher as the professional interface between the College/School and the students/pupils, parent, guardians and carers, together with outside agencies, local businesses and other stakeholders etc.
- Ensuring that day-to-day contact with students/pupils is effective and based on high expectations, shared understandings and mutual respect.
- Managing all routine and, where appropriate, confidential correspondence; prioritising action and ensuring that there is a rapid rate of response to all enquiries.
- Maintaining details, on behalf of the Principal/Headteacher, all known commitments, ensuring that diary entries are noted in the weekly Bulletin and, where appropriate, included in the Calendar.
- Maintaining and updating a directory of key contacts, including marketing and media, so as to ensure that all major College/School events and notable achievements of students are promoted and publicised.
- Producing, from printed, hand-written and dictated materials, a wide variety of correspondence, documents and reports etc., organising photocopying, finishing and distribution, as necessary.
- Advising the Principal/Headteacher of any concerns with regard to the health, safety and welfare of students/pupils which come to your attention.
- Liaising with the Principal/Headteacher concerning arrangements for planned visits, events, etc.
- Producing the weekly Bulletin/Newsletter using material approved by the Principal/Headteacher, informing staff of any essential day-to-day information.
- Taking notes of meetings and producing minutes, agenda and other papers as appropriate.
- Supporting the Principal/Headteacher in assisting in the production of statistical information, reports and improvement plans together with organisational routines, which ensure curriculum progression and continuity.
- Assisting with the accurate recording and maintenance of the database detailing each student’s attainment, test results, targets, and other related information, through liaison with appropriate staff.
- Assisting with all other production of information, as required, across the College/School in a relevant format that can be used effectively for reporting purposes.
- Monitoring reporting systems and advising when either deadlines are likely to slip or have not been met, so that appropriate corrective action can be taken.
- Ensuring that administrative routines and procedures are followed up to support the wider routines of the College/School.
